Accreditation status chat line for contractors and freelance media
Problem
Accreditation for contractors, freelance photographers and casual matchday staff is tracked on a spreadsheet the accreditation manager updates between other jobs. Confirmation goes out by email or a WhatsApp message when there is time, and there often isn't before an early kick-off or a dawn setup call. A freelancer travelling for a 7am arrival has no way to check overnight whether their pass actually went through, so they ring the one mobile number they have, texted to them once, months ago. If that call goes unanswered they either turn up unconfirmed and hope the gate lets them through, or they don't travel at all and a shoot or a job goes uncovered.
Product idea
A chat line, reachable by SMS or WhatsApp, that contractors, freelance media and casual matchday staff can message at any hour to ask whether their accreditation is confirmed. The agent checks the name and organisation against the accreditation status list the accreditation manager uploads, and answers confirmed, pending or not found, plus what to bring to collect a pass. Anyone not matched is asked for their name, organisation, the date they need access and a contact number, which lands as a flagged item in a queue the accreditation manager works through each morning rather than a scatter of missed calls and old texts. It does not verify anyone at the gate and does not issue or print a pass; that check still happens at the desk.

A chat number on SMS or WhatsApp, a manually uploaded CSV of accreditation status covering name, organisation, event date and status, a fixed set of answers for the most common questions such as what identification to bring, structured capture of name, organisation, date and contact number for anyone not on the list, and a morning queue view for the accreditation manager to work through. Version one has no live connection to the accreditation platform; the status list is uploaded by hand before each event and the agent works from whatever version it was given.

Questions we get asked
We already email people once their accreditation is approved. Why do they need to text a bot as well?
Email confirmation covers the case where the accreditation manager had time to send it before the contractor set off. The gap is the one that lands at 6am when nobody sent it yet, or the freelancer who lost the email and can't search their phone at a gate. The chat line does not replace that email, it answers the question when there is no one to ask, which is a narrower and less frequent job. Where the status list already shows confirmed, the answer is instant and nobody's inbox needs checking.
How does it match a name against the accreditation list if someone spells it differently or types their nickname?
Matching starts on exact or close name and organisation pairs from the uploaded list, and anything it isn't confident about is treated as unmatched rather than guessed at. An unmatched enquiry still gets a useful reply, it goes into the accreditation manager's morning queue with whatever detail the person gave, instead of silently returning confirmed on a guess. A wrong yes at a gate is worse than a slower answer.
Does this check people in at the gate the way the steward's credential scanner does?
No. This answers a question asked before someone travels, typically the night before or early that morning, from wherever they happen to be. It has no view of who is physically on site and makes no decision about letting anyone through a door. The scan at the gate, done by the steward against the live credential list, remains the actual point of verification; this tool exists so fewer people arrive not knowing whether that scan will succeed.
What does it say if someone messages about an event the status list hasn't been uploaded for yet?
It says so plainly rather than answering not found as if the list were complete, because those are different situations and the reply should not conflate them. If no list exists yet for that date, the response tells the enquirer the list isn't loaded and captures their question for the accreditation manager anyway. Whether that reads as reassuring or unhelpful depends entirely on how far in advance lists are actually uploaded, which is an operational habit this tool cannot fix by itself.
