Daily wellness survey completion monitor

Problem

Daily readiness data arrives through the wellness survey tool, but nobody has one view of who has actually submitted it before training starts. The sports scientist opens the survey platform, exports scores, and cross-checks against the day's roster in a spreadsheet tab kept for exactly this. When the list is short, someone posts in the team messaging group asking the same three names to fill it in, again, ten minutes before the session. On a bad morning that message goes out after warm-up has already started, and the coach is setting load without a third of the squad's readiness data — not because the data doesn't exist, but because nobody could see the gap in time to close it.

Product idea

A single board showing every athlete on today's session list with a completion state: submitted, not started, overdue. Nothing else — no scores, no trends, no flags derived from the answers, because that belongs on an availability board once submission is done. A configurable cutoff time (for example, 45 minutes before first session) triggers one alert to a named recipient — the lead strength and conditioning coach — listing exactly who is missing, sent by message or email rather than requiring anyone to open the app. One tap from that alert sends a templated nudge to the athlete directly. The board resets for the next scheduled session.

Who it is for

Strength and conditioning coaches and sports scientists who currently chase missing surveys by message each morning, sponsored by the Head of Performance who wants readiness data complete before the session, not during it.

Possible first version

A single dashboard screen listing today's roster against submission status, built from a CSV export of the wellness survey tool refreshed on a schedule or manual upload — no live API integration in version one. One configurable cutoff time and one alert channel (email or a messaging webhook) to one named recipient. No score display, no trend analysis, no per-athlete history. Multi-team support and direct survey-tool integration are explicitly out of scope for this release.

Questions we get asked

What do we actually need to have in place to try this?

A roster for the day and a way to get submission status out of your wellness survey tool, even if that is only a CSV export. Someone needs to decide the cutoff time and who the single alert goes to. It deliberately does not require API access to the survey platform for version one — if your tool only offers an export button, that is enough to start with.

Does this replace the wellness survey tool we already pay for?

No. The survey tool stays the system of record for scores and remains where athletes answer questions. This only tracks whether the submission happened, not what it says. If you wanted readiness scores and flags surfaced too, that is a separate, larger piece of work — this is deliberately narrower than that.

We already ask on the team messaging group. Why do we need a separate tool for that?

The message works when someone remembers to check the survey tool and post it, every morning, on time. That is the part this removes — the checking, not the nudging. The board watches submission status continuously and only surfaces an alert when there is genuinely a gap close to the cutoff, so nobody has to hold that task in their head.

What happens if the export doesn't line up cleanly, or someone submits right at the cutoff?

Version one is honest about being dependent on the export being reasonably current, so if your survey tool only exports on a delay, the board is only as fresh as that delay allows and that should be understood before relying on it for a live morning decision. A submission landing at the cutoff moment may or may not clear before the alert fires; the alert is a prompt to check, not a guarantee of the exact second, and it is worth treating it that way rather than as authoritative to the minute.
