Problem

Ground staff record pitch and venue inspections on paper forms and send supporting photographs through a messaging app. The paper goes in a folder; the photographs sit in a chat thread alongside everything else and are effectively unfindable within a week. Nobody can produce the inspection history for a given area without physically searching. When a surface is questioned (by a match official, a visiting club, an insurer, or after an injury), the evidence that the check was done exists only as someone's recollection and a photograph nobody can locate.

Product idea

A mobile inspection tool built for someone standing on a pitch in the rain. A structured checklist per area, photo capture attached to the specific item rather than the whole form, a severity flag that opens a maintenance issue, sign-off by named inspector with timestamp, and a matchday readiness status that the competition and operations side can see without asking. Works offline and syncs when the phone reconnects, because the far corner of a ground rarely has signal. Every inspection produces an exportable PDF report that works as evidence.

Who it is for

Grounds and facilities teams, venue operations managers, and the competition administrators who currently have to ring someone to find out whether the venue is ready.

Possible first version

A mobile web app with configurable checklist templates per area, offline capture with photo attachment, an issue list with severity and assignee, a simple matchday readiness view showing green, amber or red per area, and PDF export of any completed inspection. There is no integration with the maintenance system in version one; issues are exported or emailed instead.

Questions we get asked

Our ground staff are not office people. Will they actually use this?

That is the right question, and it is where most tools of this kind fail. The test is whether completing an inspection on a phone is faster than the paper form, not merely more modern. In practice that means large tap targets, no typing where a choice will do, the camera one tap away, and no login screen at the start of every round. If it takes longer than the clipboard, it will be abandoned within a fortnight and should be.

What happens in the far corner of the ground where there is no signal?

Everything is captured locally and syncs when the phone reconnects, including photographs. This is treated as the normal case rather than an edge case, because at most venues it is. Staff see a clear indicator of what has synced and what is still held on the device, so nobody has to guess whether a completed round actually made it.

We already have a maintenance system. Does this replace it?

No, and it should not. The maintenance system is where work orders, costs and contractor scheduling belong. The gap is upstream of it: the check itself, and the evidence that it happened. Version one deliberately exports or emails issues rather than writing into your maintenance system, so you can judge whether the capture layer is worth having before anyone touches an integration.

Who ends up owning this day to day?

Usually the head groundsperson owns the checklist templates and the venue operations manager owns the readiness view. The ongoing cost is small but not zero: someone has to keep the templates current as the venue changes, and someone has to look at the issue list. If no one is willing to own the issue list, the tool will simply become a well-organised record of problems nobody fixed.
