Problem

The team administrator answers the same questions from parents and players on repeat: what time is the bus, where is the ground, is my daughter in the squad this week, what kit do they need. Most of it arrives through the team messaging group or as a direct text, often in the evening after training or the night before a fixture. The administrator scrolls back through old messages to find the answer they already gave someone else last week, then types it out again. A question asked at nine at night sits unread until morning, and by then the parent has usually asked someone else, so two different answers are now circulating.

Product idea

A chat and voice line parents and players can reach any time, answering from a weekly logistics sheet the administrator keeps current: fixture time and venue, travel details, kit requirements, training changes. Ask 'is Priya selected this week' and it checks the current squad list rather than guessing. Anything outside that scope, a medical query, a family circumstance, a dispute over selection, is not answered. It is logged as a structured note and routed to the administrator instead of sitting in a chat thread. It does not replace the team group, which stays for the things a bot should not touch: encouragement, banter, the coach's own updates.

Who it is for

Team administrators fielding the daily question volume, kit managers and travel coordinators who supply the source details, and the parents and players who currently have to guess who to ask.

Possible first version

A phone line and web chat backed by a weekly logistics sheet the administrator edits before each fixture: time, venue, kit, travel notes, and a manually uploaded squad list. Anyone calling or messaging gets answers matched against that sheet and the squad list; anything unmatched is logged as a structured note with the asker's name and question and sent to the administrator. Out of scope for version one: live sync with the registration or squad management system, and multi-language support. The administrator updates the sheet by hand each week.

Questions we get asked

What do we need ready before this can answer anything?

A weekly logistics sheet, kept by the administrator: fixture time and venue, travel meeting point, kit requirements, any training changes, and the current squad list. If that sheet is not kept current, the tool gives confidently wrong answers, which is worse than no answer at all. The discipline of maintaining one clean weekly sheet is the real product here; the chat line is what makes maintaining it worthwhile.

Does this replace the team WhatsApp or Messenger group?

No. The group is where the coach posts updates and where parents and players talk to each other, and none of that belongs in an automated line. What moves across is the repeated, answerable logistics traffic: the same time and place question asked by five different people during one week. The group gets quieter. It does not disappear.

Parents will just message the coach directly anyway, won't they?

Some will, particularly for anything that feels personal, and that is fine: those are exactly the questions this tool should not be answering. What it targets is the routine traffic that currently goes to whoever replies fastest, usually the administrator or an assistant coach late at night. If the messages you want to reduce are 'what time is kick-off', this helps. If they are more personal than that, it will not.

What happens with a question about a specific child's situation, like an injury or a family matter?

It does not attempt an answer. Anything that falls outside the logistics sheet and the squad list is logged as a structured note with the question and the asker's contact details, and routed to the administrator to handle directly. The line is built to recognise the edge of what it knows rather than guess past it.
