Scouting coverage monitor for weekly fixture assignments
Problem
Each week the chief scout assigns fixtures and competitions to regional scouts by spreadsheet or a message in the scouting group chat. Nobody checks afterwards whether the assignment was kept. A scout falls ill, a fixture is rescheduled, an U18 league goes unwatched for three weekends running, and nothing shows the gap until someone asks why a player nobody had eyes on has just signed elsewhere. The assignment sheet only ever shows the plan, not what actually happened on a Saturday afternoon, and the head of recruitment finds out about a coverage hole only once it is too late to close it.
Product idea
A live board built from the week's assignment plan: fixture, competition, age group, scout assigned, and whether a report has been filed. Each entry moves from assigned to covered once the scout checks in or a report lands in the recruitment database; anything still open after kick-off turns amber, and a region with no filed report for two consecutive weekends turns red and pages the chief scout directly. The board does not write scout reports or judge players. It only tracks whether the watching happened, so a coverage gap is visible on Monday morning rather than discovered months later at contract time.

Possible first version
A weekly assignment plan uploaded or entered manually (fixture, competition, age group, assigned scout), a check-in per fixture marking it covered with an optional note, and a colour-coded board by region and age group. Alerts fire by email when a fixture passes uncovered or a region goes two weekends without a filed report. Version one has no integration with the scouting database or video platform: report content stays wherever it already lives, and this board tracks only whether the watching happened, not what was seen.

Questions we get asked
Our chief scout already knows if a patch has gone quiet. Why does he need a board to tell him that?
For a handful of scouts covering a small area, a phone call probably is enough, and this would not be worth building. It earns its place once the assignment list outgrows what one person can hold in their head at once: several regions, several age groups, a full weekend of fixtures running in parallel. The board does not replace the chief scout's judgement about who to send where. It gives a record he can check on Monday instead of relying on memory of who mentioned what.
Does this replace our scouting database or write up the actual reports?
No. It sits above the scouting database rather than inside it, and tracks only whether a report was filed against a given assignment, not what the report says. The judgement on the player, the ratings, the notes, all of that stays exactly where your scouts already put it. Version one does not export report content anywhere; it is a coverage record, not a scouting tool.
What do we need to have in place before this shows us anything useful?
A weekly assignment list: which scout is covering which fixture, competition and age group. Most recruitment departments already hold this in a spreadsheet or a rota, and that is the only input needed on day one. There is no historical backfill required. The board starts working from the first week it is given a plan, and gets more useful as scouts get into the habit of checking in.
What happens when a fixture is moved at short notice, or a scout has no signal over the weekend?
If a fixture moves, the chief scout edits the assignment and the board re-flags it against the new kick-off time. If a scout is somewhere without signal, the check-in simply waits: the entry stays amber rather than being marked as missed until either a report lands or the scout checks in once back online. The board does not guess at coverage it cannot confirm.
