Travel day logistics chat line for parents and players
Problem
On away trips and tournaments, the travel coordinator's phone becomes the only channel for every logistics question: what time is pickup, where do we meet, what should my child bring, has the bus left yet. Most of this was already answered in the itinerary emailed out a week earlier, but nobody rereads a PDF during a chaotic away weekend. The coordinator is meanwhile running the actual trip: bus doors, hotel check-in, a player who missed the meeting point. Answering repeat questions from a group chat or a string of individual texts competes directly with that. A genuine emergency, a missed pickup or a lost document at a border, arrives in the same thread as routine questions and can sit unread for twenty minutes while the coordinator finishes a check-in.
Product idea
A chat and voice line built from a single trip's itinerary once it is finalised: departure time, meeting point, hotel address, packing list, expected return time. Parents and players text or call the same number for the length of the trip and get an answer pulled from that itinerary immediately, rather than waiting for the coordinator to see a message between check-ins. Anything the line cannot answer, or anything tagged urgent such as a missed pickup or a lost document, is forwarded to the travel coordinator's phone as a flagged message rather than left in a general queue. It does not book travel, change the roster or edit the itinerary mid-trip; those stay with the coordinator, entered once before departure.
Who it is for
Parents and players on a travel squad who need repeated answers during a trip, and the travel coordinator who sponsors it as the person currently fielding every one of those questions directly.
Possible first version
A single phone number wired to one trip's itinerary, entered once by the coordinator: departure time, meeting point, hotel, packing list, return time. It answers the common questions from that entry, captures anything it cannot answer, and sends an SMS alert to the coordinator for anything flagged urgent. Out of scope for version one: live bus tracking, calendar or travel booking integration, and any editing of the itinerary from the chat line itself. Itinerary changes during the trip are still made by the coordinator and pushed back into the line manually.

Questions we get asked
What do we actually need to load before a trip starts?
Just the itinerary you would otherwise put in the email: departure time, meeting point, hotel address, a packing list, expected return time. There is no separate system to populate first. If a trip does not already have a written itinerary, that is worth fixing before the chat line goes in, because the line is only as good as what is entered into it.
We already book travel through a travel booking platform. Does this replace that?
No. Booking, payment and the underlying reservations stay exactly where they are. This sits downstream of that, once a trip's plan is settled, and only answers questions about it. If the itinerary changes because a booking changes, someone still has to update the entry the line reads from.
Parents will call the coordinator directly no matter what we set up. Why would this change anything?
Some will, and that is fine. The measure is not eliminating calls, it is reducing the ones that are pure repeats of the itinerary, so the ones that reach the coordinator directly are more likely to actually need a person. If the volume of routine questions does not drop, that is a signal the itinerary itself is unclear, not a failure of the line.
What happens if the bus is delayed and the itinerary we entered is now wrong?
The line keeps answering from whatever was last entered until someone updates it, so a stale answer is possible for as long as that gap lasts. Version one has no live tracking and no automatic sync with a delay; the coordinator updates the entry, much as they would already message the group. That is a real limitation worth knowing before relying on it for time-sensitive changes.
