Problem

Every week the team administrator posts an availability request into the same group chat used for banter, travel logistics and injury updates. Replies trickle in over several days, mixed in with everything else, and a one-word yes from three days ago is easy to miss under fifty later messages. Players who do not reply have to be chased one by one, by direct message, at whatever hour the administrator next has time. Some players never check the group outside matchday. By the time selection is due, the administrator has usually rebuilt the list from memory and a scroll back through the thread rather than from anything that can be handed to the assistant coach with confidence.

Product idea

A separate number for one purpose: availability, not chat. Each week it sends every player a single structured prompt, available for Saturday, yes, no or not sure, by text, with a phone call option for anyone who would rather speak the answer. Replies are logged against the player automatically as they arrive. Anyone who has not answered by the evening before the deadline gets one automatic reminder; after that, the administrator sees only the names still outstanding, not the whole squad. Coach and administrator both see a single live board of who is in, who is out and who is unsure. It does not try to interpret free-text explanations, injury detail or excuses. Anything beyond a plain answer is logged as a note and flagged for the administrator to read, not acted on automatically.

Team administrators who compile weekly availability, assistant coaches who need a settled list before building selection, and team operations managers who sponsor a cleaner alternative to the group chat chase.

Possible first version

A single squad-wide number, one weekly text prompt with yes, no or not sure as the only structured options, automatic logging against each player's name, one reminder to non-responders the evening before the deadline, and a live web view of the current state for the administrator and coach. Voice call answering is out of scope for version one; every player texts. There is no integration with the squad management tool or depth chart builder: the live board is read from directly or copied across by hand.

Questions we get asked

Players already reply in the squad group chat. Why give them another number to deal with?

Because the group chat is built for banter and logistics, and an availability reply gets buried within minutes of being sent. This line has one purpose, so a player types one word and is done, and the administrator never has to scroll back through a hundred messages to find who said what. It runs alongside the group chat rather than replacing it. If a squad genuinely reads and replies to every availability post in the group chat already, this is not solving a problem they have.

What do we need to have ready before this can run for a real squad?

A roster with each player's mobile number and preferred contact method, and a decision on what the weekly deadline actually is, since the reminder timing depends on it. That is close to what a spreadsheet already holds. No history of past availability is needed to start; the tool has value from the first week it runs, and the record of replies simply builds from there.

Does this replace our squad and roster management tool?

No. It answers one question, who is available this week, and hands that answer to whatever holds the squad list and depth chart already. Version one has no integration with either, so the board is read from directly or copied across by hand. If the squad management tool already has a reliable availability feature that people actually use, this is not needed on top of it.

What happens if a player replies with something like 'maybe, depends on my shift'?

It gets logged as unsure with the player's own words kept as a note, and flagged for the administrator rather than resolved automatically. The tool is deliberately narrow: it captures a status and a note, it does not judge intent or chase a firm answer out of someone who has not decided yet. Turning an ambiguous reply into a decision is left to a person, which is where that judgement belongs.
