Problem

Security stewards patrolling matchday areas judge a pass by its colour and lanyard style, going on memory of what this season's design looks like. A contractor or media pass issued eighteen months ago, printed on the same template, still passes a glance test and still opens some doors because nobody enforced an expiry when the season ended. Spot checks happen, but nothing records who was checked, where, or when. If a challenge is raised later, or an incident draws a question about who was in a restricted zone, the answer is a shrug and a radio call to whoever was on duty that day. The accreditation spreadsheet sits in the office; the steward on the concourse has no way to see it.

Product idea

A phone app for stewards to scan or key in a credential ID during a walk of the venue and get an immediate valid, expired or revoked result, checked against the current accreditation list rather than against what the lanyard looks like. Each check logs the steward's name, the zone, the time, and the outcome. A failed check raises a flag that goes straight to the security office instead of staying on the steward's radio. At the end of the event the walk produces an exportable log: which zones were checked, when, by whom, and what was found. It does not open or lock doors itself. It tells a person standing in front of another person whether their pass is still good.

Who it is for

Security stewards and safety officers on patrol, the head of security who has to account for restricted-zone access afterward, and accreditation managers who sponsor keeping the source list current.

Possible first version

A mobile app loaded from a CSV export of the accreditation list before each event (credential ID, name, role, valid area, expiry), scan or manual code entry, a valid, expired or revoked result on screen, a zone picker and timestamp on every check, and a flagged-check queue the security office can see live. Export of the full check log as CSV or PDF after the event. No live sync with the accreditation platform and no door-control integration in version one; the list is a snapshot, refreshed by re-upload before each event.

Questions we get asked

Our stewards already eyeball passes all day. Why do they need a phone for this?

A visual check confirms someone is wearing a pass that looks right, not that the pass is still valid. Old stock, printed to the same template as this season's, will pass that test indefinitely. The scan checks the credential against the current list, not against how it looks, and it leaves a record that a check happened. If your passes are redesigned every season and expired stock is physically destroyed, the gap this closes is smaller.

What do we need ready before the first walk?

A CSV export of the accreditation list: credential ID, name, role, permitted area and expiry date. That is the whole day-one requirement. There is no live connection to build first. If your accreditation records are not currently exportable in that shape, that is worth fixing before this, because it is also what any audit request after an incident would need.

Does this replace our accreditation platform?

No. The accreditation platform stays the system of record for issuing and managing credentials. This sits downstream of it, checking passes against a snapshot of that record while people are on site. Version one deliberately does not write back to the accreditation platform, so you can judge whether the checking layer is worth having before anyone builds a live sync.

What happens when a steward has no signal on the concourse?

The list is downloaded to the device before the walk, so checks work offline against that snapshot without needing a live connection. Flags queue on the device and send to the security office once signal returns. The trade-off is that a credential revoked mid-event will not show as revoked on a device that has not resynced, which is a known limit of working from a snapshot rather than a live feed.
