Problem

Coaches and sports science staff need current certifications, such as first aid and CPR, concussion recognition training, and manufacturer operator certification for force plate and GPS hardware, to be allowed to run sessions under league player-welfare rules. Today those certificates sit as PDFs in a shared drive folder or physical copies in a filing cabinet, tracked loosely on a spreadsheet tab someone updates when they remember. Renewal dates pass unnoticed until a league audit request, or until an incident happens during a session that was technically run by someone whose certification had lapsed months earlier. Nobody currently checks who is certified against who is actually rostered onto tomorrow's session.

Product idea

The register holds one row per staff member per required certification: first aid and CPR, concussion recognition, and operator certification for force plate and GPS hardware, each with an expiry date and a status of current, expiring or lapsed. It cross-references that list against the assigned session roster, so if the coach set to run tomorrow's testing battery has no valid operator certification, the session shows a flag before it happens rather than after. Each certification has a named renewal owner rather than a default assumption that HR is handling it, and the register exports audit-ready evidence for a league welfare check. It does not book renewal courses or verify a certificate against the issuing body: it holds what is uploaded and flags what is missing or due.

Who it is for

Head of Performance staff who carry the compliance risk, strength and conditioning coaches and sports scientists whose certifications are tracked, and whoever schedules training and testing sessions and needs the flag before assigning cover.

Possible first version

A register with one row per staff member per certification type, an expiry date field, and a status view of current, expiring and lapsed. Reminders go out before each expiry, with escalation to a named compliance owner if nothing is logged as booked. A manual upload of the current session roster lets the register cross-check assigned staff against certification status and flag conflicts. Certificate authenticity is not verified, courses are not booked, and there is no connection to a live rostering or scheduling system in version one: the roster comes in as a spreadsheet upload.

Questions we get asked

We already have HR tracking staff qualifications somewhere. Why do we need another list?

HR tracking usually covers employment-contract qualifications, not the specific operational certifications player-welfare rules require to run a given type of session, and it rarely talks to the session roster. If your HR system already flags a conflict against tomorrow's assignments before a session runs, this duplicates it and should not be built. Where the two sit separately and nobody currently checks certification status against the roster before a session, that gap is what this closes.

What does it need on day one to be useful?

A list of which certifications are required for which session types under your welfare rules, and each staff member's current expiry dates. Without that starting list the register is an empty table with nothing to flag. It does not need the rostering system connected, since version one takes a manual roster upload. It does need someone willing to sit down and get the initial expiry dates right, which is usually the slower part of getting this running.

Does this manage the certification courses themselves, booking and renewing them?

No. It tracks dates and flags gaps; it does not book a course, submit paperwork to an issuing body, or verify that an uploaded certificate is genuine. Course logistics stay with whoever currently arranges them. Extending it to handle bookings or verification would mean connecting to each certifying body's own systems, and that is a different project from getting expiry dates visible in one place.

What happens if the only certified coach available is the one whose certificate has lapsed?

The register flags the conflict; it does not stop the session or make the staffing call. Whether to run with the person available or pull in cover stays with whoever owns that decision on the day. What changes is that the conflict is visible before the session starts, in the roster view, instead of being discovered afterwards when someone happens to check a filing cabinet.
