Problem

Before training or a match, someone is supposed to check the pitch for hazards, confirm the first aid kit is stocked and in date, and check goalposts are anchored. In practice this depends on which volunteer turns up and how much time they have before the under-9s arrive. There is no form for it, so nothing gets written down: the check happens from memory or it does not happen. If a child is hurt and a parent or the welfare officer later asks whether the ground was checked that day, the honest answer is usually "probably, I think so". The only record is whatever the coach remembers, and by the following week even that is gone.

Product idea

A short checklist a volunteer coach works through on their phone before children go onto the pitch: first aid kit present and in date, goalposts anchored, playing surface free of hazards, emergency contacts accessible, weather suitable for play. Each item is a tap, with an optional photo for anything flagged. The coach signs off with their name and the time, and the record sits against that session rather than in a chat thread. If an item fails, the session can be logged as delayed or moved instead of quietly going ahead anyway. It does not chase equipment repairs or manage a maintenance backlog: a failed item is a note for the age-group manager to act on, not a ticket routed anywhere.

Who it is for

Volunteer coaches running weekly sessions, age-group managers who need to know a check happened without asking, and welfare officers who need evidence of due diligence if a question is ever raised.

Possible first version

A mobile web page with a fixed checklist per age group, tap-to-complete items, an optional photo per flagged item, coach name and timestamp captured automatically, and a session history list any age-group manager can open. No login beyond a shared club code. Out of scope for version one: any link to a maintenance or facilities system, automatic escalation of a failed item, and integration with the club's existing calendar. A failed check is visible in the list; someone still has to notice it and act on it.

Questions we get asked

Our coaches already glance round the pitch before kids arrive. Why do we need an app for that?

The check happening was probably never the real problem. What is missing is proof it happened, and proof that it happens the same way every week regardless of which volunteer turns up rushed or distracted. A tap-through list takes less time than a proper visual check anyway, and it leaves a record behind that a memory does not.

What happens if a coach has no signal at the ground?

Most grassroots pitches have patchy coverage at best. The checklist is designed to complete offline and sync once the phone reconnects, so a coach at a rural ground is not stuck waiting for a page to load before children can start warming up. Entries queue on the device until there is a connection.

Does this replace our consent and medical form process?

No. Consent and medical records are about the children; this is about the ground and the equipment. They are different checks with different owners and there is no reason to force them into one tool. This one sits alongside whatever you already use for registration and medical records.

Who actually looks at these checklists afterwards, and what if nobody does?

In practice the age-group manager is best placed to skim the session list weekly and follow up on anything flagged. If nobody takes that on, the tool still produces a record that a check took place, which has value on its own, but a flagged hazard will sit unresolved until someone reads it. The checklist surfaces the problem; it does not fix it for you.
