Training restriction handoff and coach acknowledgement tracker
Problem
When a physio or doctor puts an athlete on modified training (a load cap, no high speed running, no contact) that decision is logged in the medical record and then relayed to the strength and conditioning coach by phone call or group message. Session plans are often set the evening before, so a restriction added at 7am can miss the coach entirely if the message lands mid warm up. Nobody structurally confirms the coach actually saw it. When it works, it works because someone remembered to say it twice. When it fails, an athlete runs a session the medical file already said they should not run, and the record afterwards shows only that the restriction existed, not that anyone told the person on the pitch.
Product idea
A workflow triggered the moment a restriction is entered against an athlete for a given date. It identifies the coach assigned to that athlete's next session, sends an alert, and requires a tap to acknowledge before the session can be marked ready to start. If nobody acknowledges by a configurable cutoff, it escalates to the Head of Performance rather than staying silent. Every restriction and every acknowledgement is timestamped and logged, so the record shows both that the restriction existed and that a named person confirmed receiving it. It deliberately does not suggest how to modify the session; that judgement stays with the coaching and medical staff.

Sports scientists and medical staff who issue restrictions, strength and conditioning coaches who must acknowledge them before a session, and the Head of Performance who sponsors it and handles escalations.
Possible first version
A simple form for medical staff to log a restriction against an athlete and date, a notification to the assigned coach with a one tap acknowledge button, a countdown to escalation if unacknowledged, and a log view of every restriction and its acknowledgement status. Restrictions are entered manually rather than pulled from the medical records system, and the tool does not write into or read from the athlete management system in version one.

Questions we get asked
What do we need in place before this is worth switching on?
A list of the coaches assigned to each session and a way to reach them (phone number or app). The restriction categories can start simple, load cap, no contact, no high speed running, and be extended later. It does not need a feed from your medical records system on day one; restrictions are entered by hand, which also means someone has to commit to entering them consistently or the tool has nothing to route.
Does this replace our medical records system?
No. The medical record stays the system of truth for diagnosis, treatment and clinical history. This sits alongside it and handles one narrow job: making sure a restriction that already exists in that record reaches the coach who needs to act on it that day, and proving that it did. It is a delivery and acknowledgement layer, not a clinical system.
Our physio already messages the coach directly. Why add a step?
Because a message sent works most of the time and fails silently the rest of the time, and there is no way to tell which happened until something goes wrong. This does not stop the physio talking to the coach directly if that is faster in the moment; it adds a record that the message landed and was acted on, and an escalation path for the days it does not.
What does it deliberately not do?
It does not decide what the modified session should contain, does not diagnose or grade the restriction, and does not overrule a coach's judgement. It routes information and confirms it was received. If a coach acknowledges a restriction and still runs the wrong session, that is a coaching and communication issue no tool can close on its own.
