Problem

Travel teams and tournament programmes coordinate away fixtures, hotel blocks, transport, meal plans, parent payments, player availability and emergency contacts across group chats, spreadsheets and email threads that multiply with every trip. A team manager sends a tournament schedule to a WhatsApp group, collects RSVPs by scrolling through replies, tracks payments in a spreadsheet that falls out of date the moment someone pays in cash, chases travel consent forms by email, books a hotel block without knowing the final headcount, and answers the same question — what time do we leave, where do we meet, what do the kids need to bring — from different parents on different channels all week. Logistics for an away weekend take more of the manager's time than the matches themselves, and the information that matters most — who is coming, who has paid, who has signed the travel consent — is reconstructed from messages every time.

Product idea

A travel management layer for sports teams that puts trip logistics, availability, payments and parent communication in one place. Each trip carries a shared itinerary — dates, venues, departure time and location, accommodation, schedule, packing list and emergency contacts — visible to coaches, parents and players from any device. Parents confirm attendance, sign travel consent and pay their share through the same interface rather than three separate channels. The team manager sees a live dashboard showing who has confirmed, who has paid, who has signed and who has not, instead of scrolling a group chat. Schedule changes push notifications to confirmed attendees. It does not book hotels or flights directly, manage competition fixtures, handle live scoring or replace a full league management system — it organises the logistics that a team manager currently holds together by hand.

Where the AI agent does the work

The agent handles the coordination tax: when a trip is created, it sends invitations and collects RSVPs without the manager chasing individually. It reminders parents whose RSVP, payment or consent form is outstanding at configured intervals, names the specific missing item, and stops when it is completed. Before departure it produces the final travel sheet — confirmed players, emergency contacts, consent status, payment status, dietary requirements and medical notes — that the manager currently assembles by hand from messages. On the day, a schedule change (kickoff moved, meeting point changed) notifies only confirmed attendees. That replaces hours of group-chat management per trip.

A travel team's away weekend involves more coordination than the matches themselves. Departure time, meeting point, hotel, schedule, who is coming, who has paid, who signed the consent form, what the children need to bring, and who to call in an emergency — all of it currently lives in a group chat that grows by fifty messages a day.

The trip, not the app

The product is organised around a trip rather than a team database. A team manager creates a trip — tournament name, dates, venues, departure — and the logistics attach to it: itinerary, schedule, roster, payments, consent, communication. One trip, one place, one truth.

Shared itinerary

Each trip carries a published itinerary visible to coaches, parents and players:

  • Dates and times. Departure, arrival, game times, return.
  • Venues. Addresses with map links that open in a phone's navigation.
  • Accommodation. Hotel name, address, check-in details, room notes.
  • Meeting points. Where and when, for departure and for each game.
  • Schedule. Games, warm-up, meals and any organised activities.
  • Packing list. Kit, equipment, documents and anything specific to the trip.
  • Emergency contacts. Team manager, coach, and venue contacts.

Parents check this on a phone rather than asking in a group chat. The itinerary updates in place, and changes push a notification to confirmed attendees.

RSVP and availability

Parents confirm attendance per trip: attending, not attending or tentative. The team manager sees a live count and knows the headcount before committing to a hotel block or transport arrangement.

Reminders go to parents who have not responded by the configured deadline. The reminder names the trip and the deadline, and stops when the parent responds.

Travel consent

A travel consent form — authorising the child to travel with the team under named adult supervision — is collected digitally as part of the RSVP. The parent reads, signs on screen and submits. The signed document and its timestamp are retained.

Before departure, the manager sees which players have signed and which have not. A player travelling without a signed consent form is a liability question the manager should not discover at the departure point.

Per-trip payments

The manager sets a per-player cost. Parents pay by card or bank transfer through the platform. The manager sees paid, partially paid and outstanding against each name, without maintaining a separate spreadsheet.

Instalment options, sibling discounts and subsidised places are configurable per trip. Cash payments are recorded manually so the status stays accurate regardless of how the parent pays.

The night before departure, the team manager should see one screen:

Emergency contact sheet

A downloadable and offline-accessible emergency contact sheet for the travelling party: player name, parent contact, second contact, medical notes, allergies, medications, doctor and insurance details where held.

Available offline because the venue with the worst mobile signal is the venue where the emergency contact sheet matters most.

Schedule changes on the day

A kickoff moved from 10am to 11am, a pitch change, a meeting point update — the change is made once and notifies confirmed attendees by push notification and text. No separate message to the group chat, no "did everyone see the update", no parent arriving at the wrong field because they checked the original message.

What version one does not do

Hotel booking, flight management, expense reimbursement, live GPS tracking of a team bus, performance analytics, match video, merchandise, competition management, live scoring and league standings. Each could follow; none belongs in a first release whose job is to make a team manager's travel week manageable.

Does this book hotels or flights?

No. It organises the logistics around booking — itinerary, headcount, payment collection, consent — not the booking itself. A team manager still arranges accommodation and transport through their preferred providers. The platform tells them how many people are confirmed and paid before they commit to a block.

Can parents see game details on a phone?

Yes. Each trip carries a shared schedule with game times, venues, map links, meeting points, departure times and what to bring. Parents check the details on a phone rather than searching a message thread, and schedule changes push a notification to confirmed attendees.

How does payment work?

What is a travel consent form?

It records that the form was signed — it does not determine whether the consent is legally sufficient.

Does this replace our team management app?

Not necessarily. If the team already uses a management app for rosters, league scheduling and communication, this covers the travel-specific logistics that most team apps handle poorly or not at all: trip itineraries, per-trip payments, travel consent, shared schedules with real-time changes and a pre-departure status dashboard. The two can coexist.

Can a club see travel across multiple teams?

Yes. A club administrator can see upcoming trips across squads, total players travelling, payment collection status and consent compliance across the programme — useful for clubs with multiple age groups travelling on the same weekend.
