Problem

Sports organisations collect fan feedback after matches, events, ticket purchases and support interactions, but negative responses often remain trapped in survey dashboards or shared inboxes. A supporter can report a poor accessibility experience, parking issue, ticket problem or hospitality failure without anyone clearly owning the follow-up. Staff then export survey data, decide manually which responses matter, search for the supporter in the CRM and assign follow-up by email. By the time someone responds, the moment to recover the relationship may already have passed.

Product idea

A sports customer service workflow that turns selected fan feedback into an owned, time-bound resolution process. Low satisfaction scores, selected issue categories or explicit requests for contact create a case linked to the supporter's existing profile where available. The case is classified, assigned to the appropriate team, given a response target and tracked through contact, action, resolution and closure. Staff can see recurring causes across fixtures without exposing more supporter data than is needed to solve the issue. The product does not attempt to automate every complaint response; it makes sure the feedback that requires human action reaches the right person and is closed properly.

Where the AI agent does the work

The task an agent removes here is the triage step: deciding which survey response or feedback record actually needs a person, matching it to the right supporter record and starting the case, instead of staff exporting survey data and reading it by hand to decide what matters. That is what closes the gap between a supporter reporting an accessibility or parking problem and someone owning the follow-up, rather than the moment to recover the relationship passing while the response sits in a dashboard. The agent classifies, matches and opens the case; it does not decide the resolution or contact the supporter, which stays with the assigned team.

Who it is for

Supporter services, ticketing, CRM and customer experience teams at clubs, leagues, venues and collegiate athletic departments that already collect fan feedback but do not have a reliable workflow from negative response to resolution.

Possible first version

Connect one survey source or CSV upload to a case queue. Configure a small set of trigger rules such as low satisfaction score, accessibility issue, ticketing issue or explicit contact request. Match the response to an existing supporter record where possible, assign an owner, set a response target, record contact attempts and resolution, and report open, overdue and resolved cases by fixture and issue type. Out of scope for version one: autonomous complaint decisions, automatic compensation, sentiment-based penalties, and replacing the organisation's full CRM.

Questions we get asked

Does every poor survey score need to become a case?

No. The organisation should define which combinations of score, issue category, supporter type or request for contact require follow-up. A low score alone may be useful for reporting without creating operational work.

Can the system automatically identify the supporter?

It can attempt a deterministic match using identifiers such as ticket account ID, email address or membership number. Ambiguous matches should be reviewed rather than silently linked to the wrong person.

Should compensation be automated?

Not in the first version. The system can record whether compensation or another remedy was offered, but financial or contractual decisions should remain with authorised staff under the organisation's service policies.

What should the dashboard show?

Open and overdue cases, average response time, recurring issue categories, fixture-level patterns, resolution status and the proportion of contact-request cases actually reached. It should not become a public ranking of individual staff.

How would we measure whether the pilot worked?

Compare the percentage of actionable feedback receiving an owner, time to first contact, case closure rate, recurring issue identification and repeat supporter complaints before and after the workflow is introduced.
