Football Trial Management Software for Clubs and Academies
Problem
Football academy trials often run through email, PDF forms and spreadsheets. Invitations, registration details, consent, medical-completion flags, trial slots and staffing checks can be owned by different people. Missing paperwork or unclear readiness is then discovered at reception rather than days before the event.
Product idea
A football trial management workflow that creates one case per invited player and one operational view per trial event. The system tracks invitation, registration, guardian consent, required completion flags, trial slot, safeguarding-readiness checks and attendance. Before the event, coordinators can see who is ready and who needs chasing. During the trial, the same roster can feed an evaluation tool. After the event, the club records the outcome and next step without rebuilding the list in another spreadsheet.
Where the AI agent does the work
Missing paperwork is currently discovered at reception, which is the worst possible moment to find out a consent form or a completion flag was never chased. The agent checks every invited player's case against the required steps continuously in the run-up to the trial and tells coordinators exactly who still needs chasing and for what, days out rather than at the door. It sends the routine reminders itself — the registration link, the consent nudge — so a coordinator's attention goes to the players who are genuinely stuck rather than to re-checking a spreadsheet for names that were already ready. It does not judge readiness itself; a person still confirms before anyone is let on the pitch.
Who it is for
Football clubs and academies running recurring youth or senior trials, particularly where recruitment leads coordinate invitations, forms, slots, evaluators and post-trial outcomes across several tools.
Possible first version
Cover one age group and one trial format. Include invitation templates, registration, an e-signature link through the club's existing provider, configurable completion checks, reminders, trial-slot management, attendance and a readiness dashboard. Export the final roster and outcomes. Keep medical detail in the club's existing medical system and avoid building an e-signature product from scratch.

Sports Fan Engagement Platform for Interactive CampaignsQuestions we get asked
What does football trial management software do?
It coordinates the operational work around a football trial: invitations, registrations, player rosters, required forms, trial slots, attendance, evaluation hand-offs and outcomes.
Does it replace an academy management system?
It does not have to. A first version can cover the invitation-to-trial window and then export or sync the players who progress into the academy's existing system.
Can it manage parental consent for youth trials?
It can track whether the club's required consent step has been completed and link to an existing e-signature process. The underlying consent policy should remain owned by the club and its safeguarding or data-protection team.
Can evaluators score players in the same system?
Yes, but player evaluation is substantial enough to be a connected module. The trial page should explain the hand-off while the dedicated evaluation page covers scoring, voice notes and evaluator comparison in depth.
