Problem
Youth recruitment creates safeguarding work that often sits outside the core scouting database: staff credential expiry, evidence of who was cleared on a past date, guardian-consent completion, filming/privacy checks and event readiness. When these controls are maintained across email and spreadsheets, the organisation may know today's status but struggle to reconstruct what was checked at the time of a trial or assessment.
Product idea
A sports safeguarding software layer for recruitment and academy operations. It tracks role-based safeguarding credentials and expiry, sends renewal reminders, preserves status history, and surfaces readiness warnings against youth-facing assignments. A policy-assistant component can answer narrow questions such as what the club's current filming/retention policy requires for a youth assessment, returning citations to the uploaded policy or regulatory source. It does not verify DBS certificates directly, decide safeguarding cases, or replace the club's safeguarding lead.
Where the AI agent does the work
The agent's job is narrow: read the club's own filming, consent and retention documents and answer a specific question, such as whether an age group can be filmed without further consent, with a citation to the source clause rather than a paraphrase. That removes the search through several policy documents and past emails that currently happens each time the question comes up, and it replaces guesswork with a traceable answer a safeguarding lead can check in minutes rather than reconstruct from memory. Anything the documents do not clearly answer is escalated rather than guessed at, so the time saved comes from routine lookups, not from removing judgement on genuinely uncertain cases.

This answers one question: is this person cleared to work with these participants today, and can we show that they were cleared on the date it mattered.
That is deliberately separate from safeguarding case management, which handles a concern once it has been raised — intake, triage, investigation, referral and closure. The two share a subject and almost nothing else. Case records carry allegations about identifiable people and need far tighter access than a credential register, which is consulted routinely by anyone rostering staff.
Keeping them apart is a permissions decision before it is a product one. A credential register that anyone scheduling a session can open is useful; the same openness applied to concern records would be a serious failure.
The as-at question
The check that matters after an incident is not whether a credential is valid now. It is whether it was valid then.
So the register keeps history rather than only current state: which credentials a person held on a given date, when each was verified, by whom, and when it was due for review. Answering "was this coach cleared for the session on that Saturday" from a record rather than from memory is the thing that makes the register worth maintaining.
