Football Recruitment Software for Clubs

Workflow automationPlatform module9-13 week first phaseAnalyse data

Problem

Scouting systems are good at recording who a club has watched, but the work after a player reaches a serious shortlist often fragments again. Trial outcomes, medical checks, budget approval, registration tasks and final sign-off live in separate spreadsheets and email threads. Clubs can also struggle to answer retrospective questions such as which regions convert to trials and signings or where offers routinely stall.

Product idea

A football recruitment software layer focused on the journey from shortlist to signing. Each prospect has a tracked recruitment case with stage, owner, deadlines and required approvals. Successful trials can trigger medical, finance, registration and recruitment sign-off tasks with reminders and escalation. A reporting layer links historic scout activity, trial outcomes and signings to show conversion by region, position, scout and season. The system reports what happened and where work is stuck; it does not predict who should be signed.

Where the AI agent does the work

A recruitment case currently stalls quietly in whichever spreadsheet or email thread it last touched, because nobody is watching for the moment one stage finishes and the next owner needs to act. The agent watches every open case against its stage and deadline and prompts the specific owner — medical, finance, registration, recruitment sign-off — the moment a trial succeeds, instead of the case sitting untouched until someone happens to check it. It also answers the retrospective question a head of recruitment currently has no fast way to ask, such as where offers routinely stall by region or position, by reading straight from the case history rather than someone rebuilding the funnel by hand. It reports where work is stuck; it does not decide who gets signed.

Who it is for

Heads of recruitment, chief scouts, recruitment analysts and academy recruitment leads who need a shared operational view after scouting has produced a serious prospect.

Possible first version

Build a common prospect-stage model from CSV exports and manually created recruitment cases. Include shortlist status, last assessment, key deadline, trial outcome, approval checklist and final outcome. Add reminders for overdue steps and dashboards for funnel conversion and unresolved cases. Keep finance, medical and registration system integrations out of the pilot until the workflow is validated.

Questions we get asked

What is football recruitment software?

Football recruitment software helps clubs manage the operational process around identifying, shortlisting, trialling and progressing potential signings. This concept concentrates on the stages after scouting has produced a prospect: deadlines, trial outcomes, approvals and recruitment reporting.

How is this different from football scouting software?

Scouting software is primarily about assignments, observations, reports and player discovery. Recruitment software can extend into shortlist management, trials, internal approvals and signing outcomes. The two should integrate, but they do not need to be the same product.

Can it measure which scouting regions produce signings?

Yes, if prospect, trial and signing records can be linked reliably. The page should also explain that historical data cleanup and unresolved outcomes can materially affect the analysis.

Does it automate signing decisions?

No. It can surface evidence, deadlines and outstanding approvals, but the sporting and commercial decision remains with the club.
