Problem

Sports venues handle visitors who do not behave like ordinary office guests: media arrive early, contractors may leave through service entrances, suppliers work across restricted areas and VIP or event staff can remain long after reception closes. Paper books and generic sign-in flows often capture arrival but not a reliable departure or live onsite picture.

Product idea

Create a sports-venue visitor management system that supports pre-registration, contractor and media arrival, host/owner notifications, temporary pass references, zone or purpose capture, sign-out, end-of-day reconciliation, live onsite lists and evacuation-ready exports. The product can integrate with access control later while delivering value from a digital visitor record first.

Where the AI agent does the work

The end-of-day reconciliation is the task suited to an agent. It compares the day's check-ins against sign-outs, flags every unresolved visitor by name, and drafts the closeout list reception currently has to build by leafing through a book or a spreadsheet at the end of a shift. It does not decide whether an unresolved entry is a problem; that judgement, and the phone call or walk-through that follows, stays with a person. What it removes is the manual cross-checking itself, so the closing shift spends its time acting on a short flagged list instead of assembling one from scratch each night.

Questions we get asked

What if reception genuinely cannot tell whether someone has left?

That is the case the tool is built for. An unresolved entry cannot be waved through, it has to be marked outstanding with a name attached, which is what should trigger an actual phone call or a walk through the building rather than a shrug at the end of a shift. The tool does not solve that problem for you. It makes sure the question got asked and that the answer, or the lack of one, is on record.

Does this replace the visitor management system we already pay for?

No. It sits downstream of whatever produces the day's list of passes, whether that is a visitor management platform or a paper book someone types up at lunchtime. The reconciliation step is the gap, not the issuing step. If your visitor management platform already forces sign-out and reconciles itself, you probably do not need this.

Reception already fill in a book all day. Won't this just be another thing to update?

It replaces the informal end-of-day check that either happens badly or does not happen at all, it does not add a second parallel record kept alongside the book. If entering passes during the day feels like duplicate work, version one is designed to work from a single import at the end of the day rather than live entry, so the only new habit is the time it takes to close out.

Who is responsible for closing this out every night, and what does it cost them?

Usually the front-of-house or reception lead on the closing shift runs it, and the safety officer is the one who wants the record to exist. It costs roughly the time it already takes to leaf through a reception book at the end of the day. The difference is that the outcome is a resolved list and a signature rather than an unchecked page.
