Problem

Athletes receive important information across too many places. Training schedules live in one system, travel details arrive by email, forms are sent as PDFs, education resources sit in shared folders, and compliance reminders are chased manually by staff. The athlete has no single place to answer a simple question: what do I need to know or complete today? Staff then spend time resending links, checking who has completed a requirement, and repeating information that already exists elsewhere. Many organisations already own athlete management, scheduling or document systems; what is missing is a usable athlete-facing layer that brings the most important actions and information together.

Product idea

A secure athlete self-service portal that acts as the athlete's operational home. After signing in, each athlete sees a personalised dashboard containing tasks requiring action, deadlines, schedules, travel information, forms, documents, education resources, performance and nutrition resources, benefits, announcements and support contacts. Staff publish information once and can see whether required actions were completed without relying on email chasing. The portal does not need to replace every existing sports system: version one links to or imports from the systems already in use and becomes the athlete-facing experience across them.

Where the AI agent does the work

The dashboard's real job is an agent one: pulling deadlines, tasks and documents from every linked system and deciding, for this athlete, what actually needs attention today, rather than a fixed list everyone sees the same way. That is what removes the staff time the problem describes going to resending links and checking who has completed what by hand, because completion status is read from the source rather than chased over email. Publishing information once and having the portal work out who still needs to see it is a smaller task list for staff and a shorter path for an athlete to the one thing they were actually looking for.

Possible first version

A role-based athlete portal with secure login, athlete profile, personalised home dashboard, task inbox, calendar, announcements, resource library, document upload/download, links to existing systems, reminders and a staff administration area for publishing content and tracking completion. Version one should focus on the athlete's daily operational experience rather than replacing electronic medical records, training-load analytics, payroll, travel booking or a full athlete management system.

Questions we get asked

Does this replace our athlete management system?

Not necessarily. The first version is designed as an athlete-facing layer over the systems the organisation already uses. It can link to or import selected information from existing athlete management, scheduling, document and communication tools rather than forcing a wholesale replacement.

What should appear on the athlete home screen?

Only information that is useful to the athlete now: actions due, upcoming events, recent announcements, documents requiring attention and the most relevant resources. The goal is not to reproduce every administrative system inside one dashboard.

Can different teams or athlete groups see different content?

Yes. Content, tasks, resources and announcements can be assigned by team, squad, season, athlete group or individual athlete, with role-based controls for staff who manage them.

Can staff see whether an athlete completed a task?

Yes for tasks that are explicitly operational requirements. The portal can record assigned, viewed, completed and overdue status. Sensitive performance or medical information should remain governed by separate permissions and source-system rules.

What would make a first pilot useful?

Choose one team and move three to five recurring athlete workflows into the portal, such as travel confirmation, document collection, education modules, calendar updates and policy acknowledgements. Measure whether staff chasing decreases and whether athletes can find required information more quickly.
