Problem
When a new athlete joins, whether by signing, draft, transfer or promotion from the academy, setting them up across the performance stack falls to whoever remembers to do it. A sports scientist emails the strength and conditioning coach to book baseline force plate testing, chases medical staff for the pre-participation exam and insurance forms, and asks someone in operations to configure a GPS unit and add a wellness survey login. All of this runs over group chat and email threads, tracked, if at all, on a shared onboarding spreadsheet with one column per athlete. Steps get missed during a busy pre-season: an athlete takes on full training load with no baseline test on file, and if a later force plate result looks asymmetric, staff have nothing to compare it against. Nobody currently owns confirming that every step closed before the athlete takes the field.
Product idea
A workflow that opens when a new athlete record is started and spins up a fixed set of onboarding tasks with a named owner and due date for each: medical staff sign off the pre-participation exam and insurance paperwork, the strength and conditioning coach books and confirms baseline force plate and GPS testing, and the sports scientist adds the athlete to the wellness survey distribution list and issues a GPS unit. Each task shows as open, overdue or closed. An overdue task escalates automatically to the Head of Performance instead of relying on someone remembering to chase it. The athlete's record carries a single clear-to-train status that only turns green once every task closes. It does not write into the athlete management system, the medical record or the wellness tool; each owner still records the actual result there, and this only tracks that the step happened.
Where the AI agent does the work
The agent behaviour here is the overdue-task watcher: it does not wait to be asked, it checks each task's due date against today and escalates to the Head of Performance the moment one is overdue, rather than sitting quietly in a spreadsheet column until someone happens to scroll past it. That removes the single point of failure the problem describes, an onboarding step that only gets chased if a specific person remembers to chase it. The clear-to-train flag turning green becomes the output of a check that runs on its own, not a status someone has to go and assemble from group chats and email threads before pre-season gets busy.

This proposed athlete onboarding software creates one workflow showing what needs to happen, who owns it, what is overdue and what is complete.
One athlete onboarding checklist
When a new athlete is added, the platform creates a standard athlete onboarding checklist. Typical tasks could include:
Medical. Pre-participation physical evaluation completed, required medical sign-off, insurance or participation paperwork.
Performance. Baseline force-plate testing, initial GPS testing, performance profile setup.
Systems. Wellness survey enrolment, GPS unit assignment, athlete profile setup.
Each task has an owner, a due date and a status of open, overdue or complete. Overdue tasks automatically escalate to the Head of Performance rather than relying on somebody remembering to chase them.
Athletic clearance software that does not replace your AMS
The organisation may already use an athlete management system, a medical platform or other athlete management software. Those systems remain the source of truth.
This workflow tracks whether each required step happened, not the underlying medical examination, test result or clinical record. The medical platform stores the actual examination, the testing platform stores baseline results, the athlete management system stores the athlete profile, and the onboarding workflow confirms each required step has been completed.
That makes it a coordination layer rather than another full athlete management system.
Verify the documents, not just the checklist
A completed checklist and a verified document are different claims. Sports physical forms, medical clearance forms, athlete consent forms, insurance and other student athlete forms may all exist somewhere. The harder question is whether somebody actually checked them, whether they are still valid, and whether they belong to this athlete.
For each requirement, staff can record the document type, an image or file, the expiry date, verification status, the reviewer and a verification timestamp. The athlete then rolls up into one roster status of cleared, pending or expired.
The system does not decide eligibility. It records that the required evidence was reviewed, which is what turns athlete forms management from a folder into evidence.
Upcoming expiries surface before they become day-of-training problems, on a reminder window the organisation defines. The platform does not renew or medically approve anything.
Optical character recognition and automatic date extraction stay outside a first version. Manual entry with a reviewer attached is more trustworthy than automatic extraction nobody checked.
Clear-to-train status
Every athlete gets one onboarding status.
Ready. All required onboarding steps are complete.
Pending. One or more tasks remain open.
Overdue. A required task has passed its deadline.
Importantly, the software does not make a medical clearance decision or physically prevent an athlete from training. Medical and performance staff remain responsible for those decisions. The status simply answers whether all required onboarding and clearance steps have been completed.
Trialists and guest players
The same clearance question arrives in a more urgent form when an unregistered athlete turns up to train. A trialist or guest player has no record in any system, often arrives on the day, and the decision to let them train gets made in the car park.
The onboarding record can cover that case as a short pre-session check: is the athlete on the expected list, are they in the right age group, has consent been received, has the medical questionnaire been reviewed, is anything flagged. The outcome is cleared, pending or review, with a named reviewer and a timestamp against the session.
It is the same status model as a registered athlete, compressed into the few minutes available — and it leaves a record of who decided, on what basis, before the athlete stepped onto the pitch.
How it works

A sports scientist or administrator creates the onboarding record.

The system automatically assigns the organisation's standard checklist.
3. Assign owners and deadlines
Medical staff, S&C coaches, sports scientists and operations staff see only the tasks they own.
4. Track completion
Each owner marks their step complete once the actual work has been recorded in the relevant system.
5. Escalate overdue tasks
Outstanding requirements automatically escalate before the athlete reaches the planned training date.
Sports medical clearance and compliance
For organisations managing sports medical clearance, eligibility or participation requirements, the same workflow can provide a simple operational view of what remains outstanding. It could support athlete clearance, pre-participation requirements, baseline testing, required documentation, athlete eligibility tracking and internal sports compliance workflows.
It does not replace specialist medical, compliance or athlete registration software. Its value is making cross-department completion visible.
First release
A three to five week first release could include an athlete onboarding record, a reusable onboarding checklist, a medical-clearance task, baseline-testing tasks, wellness enrolment, GPS assignment, named task owners, due dates, open, overdue and complete statuses, owner task lists, automatic escalation, an athlete readiness dashboard and a timestamped activity log.
No integrations are required initially. Staff continue recording actual medical and testing information in their existing systems.

What do we need on day one to get this running?
A fixed onboarding checklist that matches how your organisation actually clears an athlete to train, and a named owner for each step. No data migration and no connection to the athlete management system or medical system is required to start: someone opens a new onboarding record for the athlete and works through the tasks. The value comes from having one place that shows what is outstanding and who owns it, not from any upfront data load.
Does this replace our athlete management system?
No. The athlete management system stays the system of record for the athlete's actual medical file, testing results and profile. This sits alongside it as a thin coordination layer that tracks whether the onboarding steps were done, not what the results were. Each owner still records the outcome, the exam, the test, the wellness enrolment, in the system they already use; this only tracks that it happened and by when.
We already run onboarding off a shared spreadsheet. Why change it?
A spreadsheet works until someone forgets to update a cell or two people edit it at once, and it does not chase anyone. If your current sheet reliably gets every athlete cleared before they train and nobody has ever missed a step, there is no reason to replace it. This is worth it once the volume of signings, or the cost of a missed baseline test, outweighs the admin of maintaining another tool.
What happens if an athlete starts training before every step is closed?
The tool does not block anyone from training; it has no way to enforce that and should not pretend to. What it does is make the gap visible: the clear-to-train flag stays amber or red and the outstanding task stays assigned and overdue until someone closes it. Whether an incomplete athlete actually trains is a decision for coaching and medical staff, not something this tool decides for them.
