Problem

Match footage often enters the content operation as a file, not as a usable asset. A media coordinator notices a new upload, works out which camera and period it belongs to, messages an editor, and later tries to make sure the footage is tagged well enough to find again. When volume rises, two editors can start the same file, urgent footage can sit untouched, and untagged video disappears into an archive that only one experienced coordinator knows how to navigate.

Product idea

A sports digital asset management workflow focused on the two moments most likely to fail: ingest and metadata. New footage detected in a watched folder is identified from its filename or available metadata, routed to an editor, and shown in a queue with claim and completion status. A tagging task then captures player, moment type, timecode, camera, competition and free-text notes before the asset is considered archive-ready. The resulting metadata can be exported or written into the organisation's DAM/MAM later. The workflow does not replace the DAM's storage, search, permissions or distribution features.

Where the AI agent does the work

Right now a coordinator has to notice a new file has landed, work out which camera and period it belongs to from its name, and message an editor — three manual steps before anyone has actually started editing. The agent watches the folder, reads the filename against the known naming convention, assigns the footage to an editor by the configured rule and puts it in their queue, so the coordinator's job shifts from noticing and routing to reviewing what is left unclaimed. It stops short of tagging players or moments itself in version one — that stays human, checked against a hand-tagged corpus before any model is trusted with the archive's metadata.

Ingest and tagging are one chain, not two queues

Routing footage to an editor and tagging it are frequently built as separate steps, and the gap between them is where assets go missing.

Footage that has been assigned but not tagged is in a peculiar limbo: findable by the person who received it and by nobody else. Keeping ingest, assignment, tagging and archive inside one workflow means an asset is never in a state where its owner and its metadata live in different places.

Metadata that matches how people search

The taxonomy should mirror the questions actually asked of an archive: which match, which player, which moment type, which camera, which rights condition applies.

That last one matters more than it looks. An archive that cannot express whether a clip is cleared for reuse will eventually be used to publish something that was not, and the person doing it will have had no way to know.

Deterministic first, clever later

A first version should prove the taxonomy and the workflow with filename conventions and human tagging.

Automated tagging of players and moments is a reasonable later phase, and it is much easier to evaluate once a hand-tagged corpus exists to test against. Introducing it first means trusting an unvalidated model to structure the archive everything else depends on.

Where the system of record sits

The existing asset or media platform remains the system of record for the files themselves. This governs what happens around them — who owns an asset, what it is about, whether it is cleared, and whether it can be found later.

Does this replace our digital asset management system?

No. The DAM or MAM remains the system of record for the media files. This workflow improves what happens before and around ingestion so assets arrive with ownership and usable metadata.

Why combine footage routing and tagging?

They are two halves of one chain, and splitting them puts a queue boundary in the middle of a single handover. Footage that has been routed to an editor but not yet tagged is in limbo: findable by whoever received it and by nobody else. Keeping ingest, assignment, tagging and archive in one workflow means an asset is never in a state where its owner and its metadata live in different systems.

Can AI tag players and moments automatically?

Potentially, but that is a later phase. The first version should prove the metadata taxonomy and workflow with deterministic filename rules and human tagging before adding computer vision.

What happens if the capture feed stops?

The coordinator view should show the last file received so a stalled feed becomes visible, but recovering the capture infrastructure remains outside this workflow.
