Problem

A stadium or training complex depends on floodlights, pumps, boilers, HVAC, irrigation, drainage, lifts, turnstiles, fire systems, kitchens, doors, generators and dozens of contractor relationships. Much of the day-to-day maintenance still begins with a text message, a corridor conversation or a call to whoever knows the right contractor. Important repairs usually happen; what the organisation loses is the operational history around them. Who reported the fault, who owned it, was it acknowledged, which contractor attended, how long they took, has this asset failed before, what has it cost this year, which compliance documents were current at the time, and whether the problem is genuinely recurring or only feels that way. Each maintenance event becomes another isolated message, and the questions that arrive at budget time or during an audit have to be reconstructed by hand.

Product idea

A shared operational layer for maintenance requests, work-order routing, contractor callouts, asset history, repair-cost analytics and venue compliance. Anyone authorised reports a fault from a phone against controlled location, category and asset lists; routing rules assign it to a named owner with a status a requester can see without chasing. Emergency callouts get their own faster workflow recording contractor contacted, confirmation, ETA, arrival and signed completion. Every asset carries one history — work orders, contractors, inspections, downtime and recorded spend — which is what makes the analytics honest: repair spend by asset, repeat-fault flags, stage-by-stage stall analysis of where work orders actually sit, and a plain-language query layer over approved fields. A compliance module tracks venue certificates, licences and grounds permits with owners, review dates, evidence, reminders and escalation. It does not diagnose engineering faults, recommend capital replacement, decide legal compliance, choose a contractor autonomously or hide unmatched asset data.

Where the AI agent does the work

The query layer described later in this article is the agent piece: a facilities manager types which assets had the most callouts this season or which contractors have the longest emergency response, and gets an answer built from the shared asset history rather than a pivot table assembled by hand. That removes the specific cost the problem describes — questions that arrive at budget time or during an audit having to be reconstructed from scattered work orders and messages. It answers only from matched records, states its date range and sources on every response, and says so rather than guessing where an asset identifier could not be matched, which is what keeps a fast answer from becoming a confidently wrong one.

Sports venues run on far more than what happens on the field, and a surprising amount of the maintenance keeping them running still starts with a text message.

The repairs mostly happen. What disappears is the record around them — and with it every question worth asking later.

Two operating modes, one foundation

Routine operations cover small faults, planned maintenance, preventive work, contractor visits and compliance renewals. Event-critical operations cover a floodlight failure before gates open, a burst pipe under a stand, a turnstile fault, a pump failure at the wrong moment.

They feel like different jobs. They need the same foundation: structured request, named owner, status, evidence, asset history. Without it, each event is another isolated message.

Intake and routing

Anyone authorised on site reports a fault from a phone: location, asset, category, description, photo, severity, event impact, time. Location and category come from controlled lists rather than free text, which is what makes the reporting reliable a season later.

Routing rules assign the request — plumbing in a named stand to the internal team, a lift fault to the approved contractor, pitch irrigation to grounds, a floodlight to the venue electrician — with an owner, a priority, an acknowledgement target and a status the requester can read without texting the facilities manager for an update.

Emergency callouts

Event-day callouts need a faster path than planned work, and a shared record rather than a chain of phone calls: fault, asset, severity, event impact, contractor selected, time contacted, confirmation, ETA, arrival, completion, photo, receiving staff member.

A floodlight bank reported offline three hours before gates, the contractor contacted three minutes later, confirmed two minutes after that with an ETA, on site half an hour later, completed with a photo and a supervisor sign-off. Everyone who needs to know what is happening can see it, in one place, as it happens.

The platform does not choose the contractor. The facilities manager does; the software makes the decision visible.

Close-out that means something

A work order marked complete is not always a verified repair. For selected job categories, close-out can require a completed-work photo, the named person closing it, a timestamp, the asset ID, a short note and optionally a receiving sign-off — particularly where a contractor closes remotely and the venue needs evidence the asset was actually returned to service.

Required evidence is configurable by job type. Forcing it onto every low-risk task is how a good control becomes a tick-box.

Where a new work order lands on the same asset within a defined period, the asset is flagged for repeat-failure review. Three repairs on the same door closer in five months is not a verdict on the previous repairs. It is a fact worth surfacing.

Assets, cost and recurring faults

Every important asset carries one shared history: work orders, inspections, contractors, downtime, recorded spend, compliance links. Invoices are approved by supplier and job; budgets are decided by asset, and this is the join that makes the second possible.

Recurring-fault analysis runs on the same history. A manager selects an asset, location or fault type and sees prior work orders, inspection failures, contractor notes, repair dates, weather conditions where relevant, cost and downtime — with occurrence counts and data coverage attached.

What it must never do is present a correlation as a root cause. Five drainage incidents after heavy rain is a strong reason to investigate the drainage. It is not an engineering diagnosis, and the product should not phrase it as one.

Where the time actually goes

Where the work-order system records status timestamps, the process can be reconstructed stage by stage: raised, triaged, assigned, contractor accepted, waiting for parts, work started, completed, verified closed.

Dwell time per stage as a distribution rather than a single average is what makes it actionable — triage at a median of just over an hour but a long tail into the working day, parts waits measured in days at the ninetieth percentile. Open jobs sitting materially longer than normal in their current stage surface for review.

This is process analytics, not a prediction of when a job will finish.

Compliance as a facilities module

Venue compliance belongs here rather than in a competing product: fire system servicing, lift and pressure-system inspections, water hygiene testing, accessibility audits, safety certificates, insurance-related inspections, and the water, discharge and storage consents grounds operations carry.

Each obligation holds type, issuer, owner, review or renewal date, status, evidence, reminder schedule and escalation owner. Reminders step up as the date approaches — owner, then deputy, then facilities manager, then the operations dashboard once overdue — on intervals the organisation sets.

For high-value renewals, the internal stages can be tracked too: review started, inspection completed, remedial works opened and closed, evidence compiled, internal sign-off, submission. Across cycles that shows which internal stage consistently eats the time. It does not predict whether a certificate will be granted.

An audit view answers the question that arrives without warning: obligation, status, owner, current document, review date, history, outstanding issues — rather than assembling documents from three inboxes while an auditor waits.

Asking it questions

Facilities managers should not build a pivot table every time a question comes up in a budget meeting. Which assets had the most callouts this season, how much went on pitch equipment last quarter, which locations failed inspection most often, which contractors have the longest emergency response, which obligations expire in the next two months.

The query layer runs against approved fields and definitions, and every answer shows its date range, sources, data freshness, how the asset or location was interpreted, and the supporting records. Where identifiers cannot be matched, it says so instead of guessing.

Where the boundary sits

It does not autonomously diagnose faults, recommend capital replacement, decide legal compliance, approve contractor access, negotiate pricing, pay invoices, model weather causality or replace room and event booking software.

It also does not hide incomplete asset mapping, which is the failure mode that quietly destroys trust in maintenance analytics.

Questions we get asked

Does this replace our CMMS?

Not necessarily, and pretending otherwise is how these projects fail. It can replace a spreadsheet-and-text-message process outright, or sit on top of a CMMS that already handles formal work orders well, adding staff intake, the emergency callout workflow, asset analytics, repair-spend reporting, recurring-fault analysis and facility compliance. Which model fits depends on what the current platform already does well.

Can it tell us which assets cost the most to maintain?

Where work orders and invoice lines can be matched to a consistent asset identifier, yes — repairs, callouts, recorded spend, downtime and rolling twelve-month cost, ranked by asset. The caveat is the identifier. Boiler 1, Main boiler, Boiler room unit and B1 are one asset in the plant room and four in the data, so coverage is reported openly and unmatched lines are shown rather than quietly dropped.

Does it decide whether we should replace an asset?

No. It flags an asset for review against organisation-defined thresholds — repeat callouts, recorded spend, downtime, approaching end of life — and shows the supporting history. Replacement depends on warranty, lead time, operational risk, capital planning and expected life. The software makes the evidence available; facilities and engineering make the decision.

Does it diagnose why a pitch or plant asset keeps failing?

No. It surfaces correlations with their supporting records: five of the last six drainage incidents within forty-eight hours of heavy rainfall, four chiller callouts during high-temperature periods. A correlation supports an engineering investigation and is not one. Every pattern shows occurrence count, data coverage and the underlying work orders so a qualified person can judge what it means.

Can it track certificates, permits and contractor documents?

Yes, as an obligation and evidence register: fire system servicing, lift and pressure-system inspections, water hygiene, accessibility audits, safety certificates, water and discharge consents, and contractor insurance, qualifications, RAMS and inductions. The organisation defines which obligations apply — the software tracks what it is told to track, preserves the evidence and escalates before a review date, without deciding whether the evidence is legally sufficient.

Is this sports facility management software?

It covers the maintenance and facility-operations side only. Bookings, memberships, payments, court and pitch scheduling, rentals and programmes are a different category and stay with whatever runs them today. Narrowing the claim is deliberate: maintenance, assets, contractors, work orders and facility compliance is a coherent product, and everything plus bookings is a rewrite of the venue's entire software estate.
