Problem
A sports venue runs dozens of recurring checks across playing surfaces, goals and equipment, seating, changing rooms, accessible areas, plant rooms, fire exits, emergency lighting, extinguishers, first-aid points, gates and concourses. The physical checks happen. The evidence fragments: a pitch inspection on paper, a photo of a surface defect sent through a messaging app, extinguisher checks on a sheet in a plant room, emergency-light records in another spreadsheet. Each check uses a different form, so there is no single history. When a match official, insurer, safety officer, governing body or internal manager later asks what was checked, when, and what happened to the item that failed, the answer has to be reconstructed by hand — and a skipped check is discovered as a blank row on a paper form, long after it mattered.
Product idea
One mobile inspection layer for grounds, venue areas and safety assets, built around five principles: fast enough to use on site, works offline, evidence attached to the item being checked, failed items become visible actions, and history can be produced on demand. Configurable templates cover pitch readiness, pre-event venue walks and life-safety rounds without forcing every inspection into the same checklist. Each item supports pass, fail, not applicable, note, photo and severity, with a photo tied to the specific check rather than the inspection as a whole. Asset-based rounds work from an asset register with QR scan-to-check, so an inspector scans, sees the last check and due date, records the result and moves on. A failed item becomes an issue with area, finding, severity, photo, assignee and due date, tracked internally or exported to the maintenance system. Results roll up into an operational readiness view, and overdue, failed and awaiting-action checks each have their own list. It does not certify compliance, decide whether an event is safe to proceed, or invent the inspection standard.
Where the AI agent does the work
The clearest agent-shaped task here is the document pre-review described later in the article: comparing a club's submitted evidence against the approved grading requirements before anyone travels, and flagging what is missing, expired or ambiguous against the specific criterion it fails. That turns a manual document check, usually done page by page in the days before a visit, into a queue a reviewer works from rather than builds. The same underlying principle — read the evidence, say what is missing, cite the source — is what answers the question the problem describes: what was checked, when, and what happened to the item that failed, without anyone reconstructing it from four separate paper and spreadsheet records.

A pitch inspection on paper, a defect photo in a messaging app, extinguisher checks on a plant-room sheet, emergency lighting in a spreadsheet. Four records, four formats, no shared history — and a reconstruction exercise every time someone asks what was checked before a fixture.
Fast enough to actually use
Ground staff should complete an inspection from a phone while standing on the surface. A pitch checklist covers surface condition, standing water, frost, holes and trip hazards, goal stability, line condition, surrounding hazards, access routes, equipment and matchday readiness.
Each item takes pass, fail, not applicable, a note, a photo and a severity. Large tap targets and one-tap photo capture matter more than a rich desktop interface, because the alternative is not a better form — it is the paper form winning.
Connectivity is treated as unreliable by default. Checklists, photos, named sign-off and on-device timestamps all work offline, with a visible pending-sync state and automatic upload on reconnection.
Evidence attached to the check, not the folder
A photograph should sit against the item that failed rather than the inspection as a whole: south goalmouth, standing water, fail, amber severity, photo, named inspector, time recorded.
That is a materially stronger evidence trail than a folder of matchday photographs with no structure around them.
A failed item becomes an action
A failure that lives inside a completed PDF has not been dealt with. Each one creates an issue carrying the inspection, area or asset, finding, severity, photo, assignee, due date and status.
A first release can track that internally or export it; a later integration can raise the work order directly. The conceptual line stays fixed either way — inspection finds the problem, maintenance owns the repair.
Asset rounds and scan-to-check
Some inspections are better organised around individual assets than around areas: extinguishers, emergency lights, fire doors, defibrillators and whatever else the organisation defines as life-safety equipment.
Each asset carries an ID, type, location, schedule, last check, next due date, status and full history. A QR or barcode opens the exact record — scan, see the due date, pass or fail, photo if required, submit — which removes the most common error in asset rounds: recording against the wrong item.
The physical tagging is implementation work, and it depends on the asset register being right first. A tagging project on top of an inaccurate register produces confident wrong records.
Readiness, overdue and history
Inspection results roll up into a simple readiness view by area — main pitch green, north goal area amber, west concourse red — so a venue operations director can see where attention is needed without ringing round.
That is an operational summary, not a certification. It reflects completed checks and unresolved issues, and nothing more.
Alongside it sit the lists that stop checks quietly disappearing: due today, due this week, overdue, failed, awaiting corrective action — filterable by venue, area, asset type, inspection type and owner.
Every completed inspection records the inspector, timings, template version, findings, photos, notes and sign-off. When a checklist changes, historical inspections stay tied to the version used at the time, which is what keeps the history defensible.
External inspection, and why the criteria carry a version
The same tool serves a second job that looks similar and is not: a league or federation inspector visiting a club to assess it against grading or affiliation criteria, rather than a groundsperson checking their own venue before an event.
The difference is that the criteria come from outside and change between seasons. So a template holds, against each criterion, the source requirement, the version of that source and its effective date. That is what makes an old inspection readable later — a visit from two seasons ago can be understood against the rules that applied then, instead of being silently judged against the current ones.
Offline, and being honest about sync
Inspections happen at rural grounds, in plant rooms and basements, inside stadium dead zones and at temporary tournament venues, so full offline capture belongs in the first version rather than a later one.
The harder requirement is honesty about what has actually left the device: records saved locally, photographs pending upload, sync status, failed syncs and the last successful sync, all visible. An inspector should never drive away believing a visit was submitted while half of it is still on a phone.
Sign-off, and the record that cannot quietly change
Completion records the inspector, the date and time, the template version used and the submission timestamp.
After sign-off the submitted inspection is preserved, and a correction creates an amendment carrying its own author and timestamp rather than editing what was originally recorded. These records get read after an incident or during a disputed grading, which is exactly when a silently editable record is worth nothing.
Standards are held, not invented
Where an inspection covers accessibility or governing-body requirements, the platform stores the source requirement, its version and effective date, the criterion, the evidence and the inspector's result.
The US Access Board publishes the accessibility guidance covering sports and recreation facilities, and comparable duties arise elsewhere under other regimes. What the application must never do is generate a requirement, decide that a facility complies, or imply that a completed checklist establishes a legal position.
Document pre-review, later
Once the inspection workflow is trusted, a club's submitted documentation can be compared against the approved grading requirements before anyone travels: which evidence is present, which is missing, which has expired or reads ambiguously, each cited back to the criterion and to the source document.
The output is a queue for a human reviewer and an inspector who arrives knowing what to look at. It does not award a grade, certify safety, decide legal compliance or replace the site visit. A pre-review that appeared to do any of those would make the visit feel optional, which is precisely the wrong outcome.
Where the boundary sits
It does not decide whether an event is legally safe to proceed, replace qualified safety judgement, certify compliance, or assume the asset register is accurate.
The organisation supplies and approves the checklist content. The platform makes the capture consistent, the evidence attached and the history retrievable.
Questions we get asked
Does this replace our maintenance software?
No, and the separation is deliberate. Inspection finds the problem; maintenance owns the repair. This records the check, the evidence and the finding, and a failed item can create an issue that is tracked here in a first version or exported into the maintenance workflow. A later integration can raise the work order automatically. One product pretending to be both workflows serves neither well.
Can ground staff use it with no signal?
Yes — offline capture is a core requirement rather than an enhancement. Checklists, photos, named sign-off and on-device timestamping all work without connectivity, with a clear pending-sync state so the inspector always knows whether the record has actually uploaded. A plant room or a far corner of a training ground is exactly where signal fails and checks still have to happen.
Can we use QR codes for extinguishers and other assets?
Yes. Each tagged asset opens its own record, schedule and history: scan, see the last check and next due date, record pass or fail, add a photo where required, submit. That removes the commonest error in asset rounds, which is recording a check against the wrong item from a long list. The tagging project itself is implementation work, and it depends on the asset register being accurate first.
Does a green readiness status mean the venue is safe to open?
No. The readiness view is an operational summary of completed checks and unresolved issues, not a safety certification. It tells a venue operations director where attention is needed without calling every team. The decision about whether an event proceeds stays with the authorised people who hold that responsibility.
Who writes the inspection checklists?
The organisation. We can digitise and structure an approved process, but the platform should not invent safety requirements on a venue's behalf. What it adds is consistency — the same template, versioned, applied every time, with history tied to the version in force when the check was made.
What can we ask the inspection history?
How many pitch inspections failed this season, which areas produce the most repeat findings, which assets are repeatedly overdue, what the status of the main pitch was before a specific fixture, every inspection recorded for a particular fire door, and which findings have stayed open longest. That is operational evidence and trend visibility from records that currently sit in four places.
