Sports Program Management Software for Camps and Academies
Problem
Sports organisations running camps, clinics, development pathways, community programmes and participation sessions often split the participant journey across several tools. A parent may discover a programme on a website, register in a form, sign a waiver elsewhere, pay through another service and receive schedule updates by email. Attendance and instructor notes then return to spreadsheets. Staff can see individual transactions but struggle to see the participant's complete history: what they joined before, whether forms are complete, whether payment or financial assistance is outstanding, who is responsible for the next session, and what progress was recorded.
Product idea
A two-sided sports program management platform connecting participant discovery, registration, payments, waivers, schedules, attendance and progress tracking. Participants or guardians can browse eligible programmes, register, complete forms, pay, request financial assistance and view schedules from one account. Instructors see assigned rosters, attendance and permitted progress information. Administrators manage capacity, waitlists, payments, scholarships, waivers, staff assignments and participant history. The result is one longitudinal participant record rather than a collection of disconnected registration exports.
Where the AI agent does the work
An agent pulls a participant's registration, waiver, payment and attendance history into one account view, so a staff member answering "is this family up to date" checks one place instead of the separate registration form, payment service and attendance spreadsheet the journey is currently split across. It flags what is still outstanding, an unpaid balance, a missing waiver, against the next session, so the gap surfaces before a child arrives rather than at the door.
Who it is for
Federations, community sports organisations, academies, adaptive sport providers, collegiate recreation teams and sports charities running repeat programmes, camps, clinics or development sessions where registration and delivery data are currently fragmented.
Possible first version
A participant and guardian account, searchable programme catalogue, eligibility rules, registration, capacity and waitlist management, waiver completion, payment, simple financial-assistance approval, schedules, instructor rosters, attendance, progress notes, participant history and an administrative dashboard. Version one should not attempt to become a league standings system, tournament platform, full LMS, complex accounting suite or advanced workforce scheduler.

Sports Fan Engagement Platform for Interactive CampaignsQuestions we get asked
Is this the same as sports registration software?
Registration is one part of it. The proposed platform follows the participant after registration into payment, waiver completion, scheduling, attendance, instructor interaction and programme history. It is most useful where the organisation runs repeat programmes and needs a longitudinal participant record.
Can a parent manage more than one participant?
Yes. A guardian account can hold multiple participant profiles while keeping each person's eligibility, forms, registrations, schedules and history separate.
How should scholarships or financial assistance work in version one?
Keep the workflow simple: a participant requests assistance during registration, authorised staff review the request, record an approved amount or discount, and the registration proceeds using the adjusted payment requirement. Complex grant management can remain outside the first phase.
What can instructors see?
Only information needed to deliver the programme safely and effectively: assigned participants, attendance, approved support information, session schedule and the progress fields they are responsible for completing. Financial, sensitive or administrative data should remain restricted to authorised roles.
What is a good first pilot?
Pick one recurring programme with enough volume to test registration, payment, waiver, attendance and participant history across several sessions. That gives the team a complete operating loop without trying to migrate every programme at once.
