Problem

Product idea
A structured report an athlete submits from a phone: body area, pain scale, when it started, whether it happened in training or elsewhere. It routes to whichever medical or performance staff member is on duty, who triages it into cleared, monitor, or flagged for review. A flagged report notifies the assigned strength and conditioning coach with the triage note and requires that coach to acknowledge it and record a session change before the athlete is marked ready to train. If nobody acknowledges within a set window ahead of the session, it escalates to the Head of Performance. It does not diagnose an injury or suggest treatment; it only makes sure a report reaches the right person and the loop closes with a record.
Where the AI agent does the work
The part that behaves like an agent is the escalation watcher: once a report is flagged, it tracks whether the assigned strength and conditioning coach has acknowledged it, and if nobody has before the session starts, it acts on its own and notifies the Head of Performance without a person having to remember to check. Today that handoff depends on two people crossing paths at the right moment, and when they do not, the athlete trains on the original plan with no record that anything was reported at all. An escalation that fires itself closes that gap whether or not the two people involved ever happen to meet.

Athlete injury reporting without another message thread
The athlete completes a short mobile injury reporting form covering:
- Body area
- Pain or discomfort level
- When it started
- Training or non-training context
- Optional note
The report is automatically routed to the appropriate medical or performance staff member.
The staff member then records one of three agreed outcomes: cleared, monitor, or review required.
If training needs to change, the assigned S&C coach receives the report and must acknowledge the modification. If nobody responds within the agreed window before training, the workflow escalates to the Head of Performance.

How it works

The athlete submits the issue from their phone.
2. Staff triages
The on-duty person reviews the report and records the agreed status.

Where required, the S&C coach receives the triage note and records the session change.
4. Acknowledgement closes the loop
The workflow records who received the report, when they acknowledged it and what action was taken.
5. Unanswered reports escalate
If acknowledgement does not happen before the agreed deadline, the Head of Performance is notified.

Athlete training restrictions and modified training
The same handoff matters when the restriction comes from the other direction. A physio or doctor puts an athlete on modified training: no contact, a load cap, no high-speed running, modified gym work. The restriction may already be recorded correctly in the medical system. The problem is making sure the coach running today's session actually sees it.
Training restriction management uses the same structured handoff as an athlete report, carrying the athlete, the restriction, its effective date, the applicable session, the medical or performance owner, the assigned coach, acknowledgement status and a timestamp.
The coach receives a notification and confirms they have seen it. If there is no acknowledgement before the agreed cutoff, it escalates to the Head of Performance.
That also gives a lightweight athlete availability management layer. For each session, staff can distinguish between athletes who are fully available, available with restrictions, on modified training, unavailable, or awaiting acknowledgement, which is the participation management view most teams assemble by hand.

What do we need in place before we can turn this on?

There is no dependency on your athlete management system or medical record platform to start; the tool works from a manually maintained athlete list and a simple duty rota. The main precondition is agreeing who triages a report and what counts as a flag worth escalating, which is a policy conversation, not a technical one.
Does this replace our medical record system?
No. It captures the report and the handoff to training, not a clinical record. A flagged report still gets written up properly by whoever assesses it, in whatever system your medical staff already use for that. This tool exists for the narrower problem: making sure the strength and conditioning coach actually finds out before the session starts, and that there is a timestamped record that they did.
Our medical and coaching staff already sort this out over the team group chat. Why would they open a separate tool?
They might not, and that is the real risk here. A structured form only wins if submitting it is faster than typing a message, and if the acknowledgment step feels like protection rather than paperwork. Where this earns its place over a chat thread is the moment something goes wrong: a chat scrollback cannot show who saw a report, when, or what was decided, and a structured log can. Whether that is worth a second app is worth testing with real staff before committing further.
What happens if an athlete reports a niggle in the evening or over a weekend when nobody is rostered for triage?
The report is logged with its timestamp and sits with the next on-duty person until they open the tool, the same way an unanswered message would. It is not built for anything urgent: a genuine injury needing immediate attention should still go to a doctor or emergency contact directly, not through a form. This tool is for the routine case, a knock that needs a session adjusted before the next training, not a substitute for an emergency pathway.
