Sports camps still run on paper forms, email attachments and a spreadsheet that the camp director reconciles the week before opening day. The registration itself usually works. What breaks is everything that has to be true before a child takes the field: a signed waiver, a current medical form, a completed payment and a group assignment.

One registration, not four systems

A parent opens the registration on a phone, selects sessions, enters player details and emergency contacts, uploads required documents, signs waivers and pays — in a single flow. No separate PDF to print and scan, no waiver emailed as an attachment, no payment link on a different page.

The camp director sees a live roster where every player row shows registration status, payment status, waiver status and document status. A row that is green all the way across needs no attention. A row with an amber waiver or a red payment is the director's morning.

Each is configured per camp or session rather than calculated by hand after the fact. Outstanding balances are tracked against each player and visible to the administrator and the parent.

Waivers and documents in the flow

A waiver, code of conduct or medical questionnaire is part of the registration rather than a separate step. The parent reads, signs and submits digitally. The signed document, the timestamp and the signer's identity are retained.

Required documents — proof of age, medical clearance, insurance — are uploaded during registration and tracked per player. A player whose medical form is missing or expired is flagged before camp opens, not discovered at check-in.

Incomplete registration chasing

A parent who started a registration but did not finish receives an automated reminder naming the specific step that is incomplete: payment not submitted, waiver unsigned, medical form not uploaded. The reminder goes at a configured interval — not immediately, and not never — and stops when the step is completed.

That replaces the pattern where a director exports a list of incomplete registrations, compares it against payments received, writes individual emails and hopes the parent does not register through a different channel in the meantime.

Group assignment and scheduling

Players are assigned to groups by team, age, session or skill level from the roster. The camp schedule — sessions, times, locations, groups — publishes to a web page and updates automatically when something changes.

Schedule changes notify registered families by email or text, so a session moved or cancelled reaches the parents who are affected rather than relying on a notice pinned to a board.

Communication

Targeted messaging to all registered families, a specific session, a specific group or individual players. Email and text from the same interface, without exporting a contact list to a separate tool.

What version one does not do

Coaching content delivery, athlete performance tracking, competition management, live scoring, merchandise sales, accommodation booking, transport coordination and staff scheduling. Each is a reasonable feature for a later version and a distraction for the first. The first objective is: every player who arrives on day one has a completed registration, a signed waiver, a current medical form and a confirmed payment.
