Sports equipment checkout software that tracks which athlete has each GPS or wearable unit, its condition, charge level and whether it was returned.

Problem

Before training, someone hands out GPS and wearable units from the charging case and matches them to athletes on a whiteboard or in a group chat — "Sarah's on 12, Tom's on 7." After the session, units come back into the case, but nothing formally confirms which unit went to whom, whether it was charged, or whether it came back in one piece. When a unit goes missing, or an athlete's session shows no data because they were wearing the wrong one, staff scroll back through days of messages trying to reconstruct who had what. A cracked housing or frayed strap often isn't reported until the unit fails mid-session weeks later.

Product idea

A mobile checklist for issuing and returning shared training hardware — GPS units, heart-rate straps, force plate accessories, whatever the pool contains. At issuance, staff select each unit, assign it to an athlete, confirm charge level and note condition, with a photo if there is existing damage. At return, each unit is checked back in against the same list, flagged if missing or newly damaged. A live board shows which units are still out and to whom. It works offline in a training hall with poor signal and syncs afterwards. It does not record load, location or performance data itself — that stays in the tracking platform. This is a custody and condition record, nothing more.

Where the AI agent does the work

This one is closer to a structured checklist than an autonomous agent, and the honest version of the AI angle is narrower: a live board that notices a unit issued but never checked back in and can flag it at end of session, instead of staff realising days later and scrolling back through a group chat to reconstruct who had what. That reconstruction is the actual cost named in the problem, time spent piecing together custody from message history after a unit goes missing or a session shows no data. Catching the gap the same day it happens is the saving; nothing here is judging condition or making a repair decision.

Before training, GPS units and wearables are handed out quickly. Someone needs to know which athlete has which unit.

After training, the questions change. Did every unit come back? Was anything damaged? Was a unit swapped mid-session?

This proposed sports equipment inventory software replaces the whiteboard or group-chat process with a simple mobile checkout workflow.

Equipment checkout by athlete

At issuance, staff select the unit and record the athlete, unit ID, charge level, condition, any existing damage and an optional photo.

At return, the same unit is checked back in and any new damage is recorded.

The live board shows each unit as available, issued, returned, missing or damaged.

Sports equipment tracking without touching performance data

The tool tracks custody and condition. It does not capture GPS location, athlete workload, heart-rate data or training metrics. Those remain in the vendor platform.

That can also help performance staff investigate missing or incomplete session data when the wrong unit was issued.

Handle mid-session swaps

If a device fails during training, staff can reopen the athlete record and issue a replacement. The session history then shows both devices rather than losing the custody trail.

This is particularly useful for shared pools of GPS units, heart-rate straps, wearables, testing accessories and other high-value performance equipment.

First release

A two to four week version could include an equipment inventory, athlete roster, unit checkout, charge status, condition capture, damage photos, unit return, mid-session swap, an outstanding-equipment view, session history, CSV export and offline support.

No integration with GPS or wearable platforms is required initially.

Condition evidence, and what it does not settle

A unit going out and coming back are two records, not one. Condition at issue and condition at return, each with a photograph, is what makes a damaged unit a comparison rather than a recollection.

For the units worth it, an acknowledgement from both the issuer and the athlete at handover is worth the extra few seconds. Where the athlete is a minor, a parent or guardian acknowledgement may be the appropriate form instead.

What follows a damaged return is a repair, retire or replace decision with a named owner. The workflow records the evidence and routes the decision. It does not determine who is financially responsible: that rests on the organisation's own rules and agreements, and a photograph is evidence for that decision rather than a substitute for it.

Questions we get asked

What do we need to have ready before this is useful?

Just a list of the units in your pool and their identifiers — unit numbers or serials, however you already label them. That becomes the inventory the checklist runs against. No historical data is needed and no connection to the tracking platform itself; the tool starts useful on day one with a list someone could type up in an afternoon.

Does this replace our GPS or wearable platform?

No. The vendor platform stays exactly where it is for load, position and physiological data — that is not something this tool touches or tries to replicate. This sits in front of it, solving a narrower problem: knowing which physical unit went to which athlete and what state it came back in. If your data completeness issues trace back to athletes wearing the wrong unit, this addresses that; it does not touch what happens once a unit is switched on.

We already track this on a whiteboard and it mostly works. Why change it?

For a small squad with one person always running the case, it probably does work well enough, and this tool would not be worth adopting. The failure shows up with squad size, staff turnover on issuance duty, or when someone other than the usual person hands out units and does not know the informal system. If nobody has ever had to reconstruct "who had unit 9 on Tuesday" from memory, this is not solving a live problem for you yet.

What happens if a unit fails or gets swapped mid-session?

Staff can reopen that athlete's issuance record on the spot, log the swap to a replacement unit, and note the fault. The record then shows both units against that athlete for that session rather than losing the link entirely. It is deliberately quick to correct — the goal is an accurate custody trail, not a rigid process that gets abandoned the first time a unit dies at the pitch side.

Does the damage photo decide who pays for a broken unit?

No. It gives the organisation a before and after to compare instead of two people's memories of how a unit looked three weeks ago. Whether anybody is charged, and whether that is even permissible, depends on contracts, squad agreements, safeguarding considerations where the athlete is a minor and local law. The workflow records condition, captures the images and routes a repair, retire or replace decision to a named owner.
