Problem

Once a sponsorship agreement is signed, delivery often moves back into email. Sponsors ask for artwork specifications, activation dates, hospitality allocations, evidence, campaign reports and approval status in separate threads. Account managers repeatedly resend the same files and reconstruct what has or has not been delivered. The sponsor has no shared view of upcoming obligations, approvals or completed assets, while the rights holder has no clean external-facing layer over its internal sponsorship workflow.

Product idea

A secure sponsor partner portal that gives each commercial partner a controlled view of its agreement, upcoming activations, assets, approvals, hospitality allocations, deliverables, evidence and reports. Internal staff decide exactly which contract information and metrics are exposed. Sponsors can upload creative, approve selected items, download specifications, comment on activation tasks and retrieve completed evidence without requesting it again by email. The portal is not the contract system of record; it is the collaboration layer between the sponsorship team and the partner.

Where the AI agent does the work

Most of what currently arrives as an email to the account manager, a repeated request for the artwork spec, the current approval status, last month's report, is exactly what an agent can answer directly from the portal's own records, retrieving the right file or status without a person searching a mailbox first. That removes the resend-and-reconstruct cycle described in the problem, where the same document gets sent more than once because there is no shared view. The account manager's time shifts from answering repeat requests toward the questions a partner record genuinely cannot answer on its own.

Not by default. The organisation decides which agreement fields, rights and deliverables are appropriate to expose. Sensitive internal commercial information can remain in the source CRM or contract system.

Yes. Assets can be tied to a specific activation or deliverable, with version, approval status, due date and comments so the final approved file is clear.

How does this connect to sponsorship inventory management?

Inventory management remains an internal commercial workflow. Once rights are sold and assigned, selected deliverables and activation details can be surfaced in the partner portal for collaboration and proof of delivery.

What evidence should be available to a partner?

Depending on the agreement, this might include event photographs, broadcast screenshots, digital placement evidence, social-post links, hospitality delivery records and final activation reports.
